Position Summary

The Loan Administration Representative I provides administrative and operational support throughout the loan lifecycle by preparing, processing, maintaining, and servicing consumer, commercial, and agricultural loan documentation. This position ensures loan files are complete, accurate, and compliant with applicable banking regulations and internal policies while delivering exceptional service to customers and internal business partners. The role works collaboratively with Loan Officers, Credit Administration, Operations, and other departments to support efficient loan processing and uphold Iowa Trust & Savings Bank commitment to relationship-based community banking.


Essential Functions

Loan Documentation & Processing

  • Prepare, review, and process consumer, commercial, and agricultural loan documentation in accordance with Bank policies and applicable federal and state regulations.
  • Prepare loan disclosures, closing documentation, and supporting documents for loan transactions.
  • Coordinate and obtain required documentation, including appraisals, title work, lien searches, flood determinations, insurance information, and other supporting documentation.
  • Review loan documentation for completeness, accuracy, and compliance prior to funding.
  • Maintain accurate electronic and physical loan files throughout the life of the loan.
  • Process loan renewals, modifications, extensions, assumptions, payoffs, and maintenance requests.

Loan Administration

  • Process new loan bookings and ongoing maintenance transactions accurately and in a timely manner.
  • Verify collateral documentation, entity documentation, signatures, and required approvals.
  • Monitor documentation exceptions and follow up to ensure timely resolution.
  • Maintain loan records in accordance with record retention requirements and internal procedures.
  • Assist with loan closings and settlement documentation as assigned.

Customer Service & Relationship Support

  • Deliver exceptional service to customers and internal business partners.
  • Respond promptly and professionally to inquiries from Loan Officers, attorneys, title companies, appraisers, and other third parties.
  • Build collaborative working relationships across departments to ensure timely loan processing and positive customer experience.

Compliance & Risk Management

  • Maintain compliance with all applicable federal and state banking laws and regulations.
  • Adhere to all Bank policies, procedures, internal controls, and operational standards.
  • Protect confidential customer and Bank information.
  • Demonstrate knowledge of and comply with Bank Secrecy Act (BSA), Anti-Money Laundering (AML), Office of Foreign Assets Control (OFAC), Customer Identification Program (CIP), and other regulatory requirements.

Operational Excellence

  • Identify opportunities to improve operational efficiency and recommend process improvements.
  • Participate in departmental initiatives, system enhancements, and cross-training opportunities.
  • Maintain current knowledge of lending products, banking regulations, and technology.
  • Complete required training and continuing education.
  • Perform other duties as assigned.

Supervisory Responsibilities

This position does not have supervisory responsibilities.

 

Required Qualifications

Education

  • High school diploma or equivalent required.
  • Associate degree in Business, Finance, Accounting, or a related field preferred.

Experience

  • Previous experience in banking, loan administration, lending, or financial services preferred.
  • Equivalent combinations of education and experience may be considered.

Knowledge, Skills & Abilities

  • Knowledge of consumer, commercial, and agricultural lending practices preferred.
  • Strong attention to detail and commitment to accuracy.
  • Excellent organizational and time management skills.
  • Ability to manage multiple priorities and meet deadlines.

  • Proficiency with Microsoft Office and banking software systems.
