Loan Administration Representative

Position Summary


The Loan Administration Representative I is responsible for supporting the accurate and efficient processing, documentation, maintenance, and servicing of consumer, agricultural, commercial, and real estate loans. This position assists loan officers and lending staff by coordinating loan documentation, maintaining loan records, processing loan-related transactions, and supporting daily operational activities within the loan administration department. This role contributes to portfolio accuracy, regulatory compliance, operational efficiency, and customer service excellence while supporting Iowa Trust’s commitment to relationship-focused community banking. Key Responsibilities


Loan Processing & Documentation


*Gather, organize, and review information required to support loan origination and servicing activities.


  • *Process and coordinate the closing of residential real estate loans, including preparation and review of required documentation, coordination with customers and third parties, and ensuring compliance with applicable regulatory and bank requirements.


  • *Prepare, process, and maintain loan documentation in accordance with internal policies, regulatory requirements, and loan program guidelines.


  • *Order appraisals, title work, lien searches, and supporting documentation necessary to secure and maintain collateral positions.


  • *Assist with preparation of loan disclosures, settlement statements, and loan closing documentation.


  • *Ensure loan files are complete, accurate, and properly documented prior to funding and throughout the life of the loan


Loan Maintenance & Servicing


  • *Perform loan maintenance activities for new and existing loan accounts.


  • *Process loan payments, advances, renewals, modifications, and related account updates.


  • *Maintain accurate loan records and tracking systems to support servicing, reporting, and compliance functions.


  • *Assist with loan notices, exception tracking, and follow-up documentation requests.


  • *Support ongoing monitoring and administration of loan portfolios.


Customer & Operational Support


  • *Assist customers, vendors, agents, and internal personnel with loan-related questions and requests in a professional and timely manner.


  • *Promote strong customer relationships through responsive communication and quality service.


  • *Coordinate with internal departments to support efficient loan processing and operational workflows.


  • *Contribute to a positive team environment through collaboration and effective communication.


Compliance & Risk Management


  • *Ensure compliance with internal policies, procedures, and applicable state and federal banking regulations.


  • *Maintain confidentiality and appropriately manage sensitive customer and financial information.


  • *Support documentation accuracy and quality control efforts related to loan files and servicing activities.


  • *Participate in audits, reviews, and compliance-related activities as requested.


  • *Maintain awareness of applicable regulations including Bank Secrecy Act (BSA), Anti-Money Laundering (AML), and related compliance requirements.


Training & Professional Development


  • *Participate in required training and continuing education activities.


  • *Maintain working knowledge of bank products, services, operational procedures, and lending regulations.


*Support department initiatives focused on process improvement and operational efficiency.


Qualifications


  • *High school diploma or equivalent required; Associate degree in Business, Finance, Accounting, or related field preferred.


  • *Previous banking, lending, loan administration, or financial services experience preferred.


  • *Working knowledge of loan documentation, loan servicing processes, and banking operations preferred.


  • *Strong organizational skills with the ability to manage multiple priorities and meet deadlines.


  • *Strong verbal and written communication skills.


  • *Proficiency with core banking systems, Microsoft Office applications, and general office technology.


  • *Ability to maintain confidentiality and exercise sound judgment in handling sensitive information.
